JOB POSITION:     Administrative Secretary

SMARTWATER is seeking an energetic and capable administrative secretary to assist us with office administration. In this role, you will be responsible for processing documents, maintaining databases, and liaising with the public. You may also be required to manage office supplies.

To ensure success as an administrative secretary, you should possess excellent communication skills and demonstrable experience in a secretarial role.

Administrative Secretary Responsibilities:

·       Reporting to management and performing secretarial duties.

·       Processing, typing, editing, and formatting reports and documents.

·       Filing documents, as well as entering data and maintaining databases.

·       Liaising with internal departments and communicating with the public.

·       Directing internal and external calls, emails, and faxes to designated departments.

·       Arranging and scheduling appointments, meetings, and events.

·       Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.

·       Monitoring office supplies and ordering replacements.

·       Preparing facilities and arranging refreshments for events, if required.

·       May conduct research (within skills and expertise) to assist with projects or inquiries.

·       Welcomes and directs visitors and clients.

·       Performs other general clerical and secretarial duties as requested, which may include digital record keeping, managing petty cash, coordinating equipment maintenance, and handling packages and correspondence.

Performs other related duties as assigned.

Required Skills / Abilities:

·        Detail-oriented and professional.

·        Associate diploma or degree required in related field preferred.

·        Formal qualification in office administration, secretarial work, or related training.

·        2+ years of experience as an Administrative Secretary would be advantageous.

·        Excellent written and verbal communication skills and very good knowledge of English Language.

·        Extremely proficient in managing documents, spreadsheets, and databases Microsoft Office Suite, internet and google.

·        Ability to organize and prioritize tasks including delegation of tasks when appropriate.

·        Basic understanding of clerical procedures and systems such as recordkeeping and filing, and organizational skills.

·        Working knowledge of printers, copiers, scanners, and other office equipment.

·        Proficiency in internet appointment and regular appointment scheduling and call forwarding systems.

·        Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines.

Salary expectations

A very satisfactory basic salary including 13rd is offered according to the level of experience and education.

Job position may be submitted under the subsidy plans of the ANAD and the Ministry of Labour
